URS Preparation Process

The URS preparation process begins with identifying the URS preparation team members and their roles. Typically, URS authors, subject matter experts (SMEs) / reviewers, approvers, coordinators, and other stakeholders are identified during this phase.

Data Collection

Next, the scope to be covered by the URS is clearly defined and agreed upon by the team members.

Further, the team gathers the data or information related to the equipment or system from potential end-users and operators/maintainers using interviews, workshops, questionnaires, and email.

Drafting the URS Document

Once the data is gathered, the draft URS document is prepared using the agreed-upon URS template. Note that no sections or sub-sections of the template should be deleted, and all should be filled. In the case where no requirement applies to a particular section or sub-section, the description should specify “Not applicable”.

At this point, it is necessary to describe clearly and precisely what the end-users and operators/maintainers want the system to do, and distinguish between vital requirements and simply desirable features. There should be no ambiguity in the expectations of the users.

The draft URS document should be approved by subject matter experts, system owners, and the Quality unit. URS is a live document and can be revised throughout the system lifecycle.
